Privacy Policy

1. Who we are

EasyVisaHelp is a private travel authorization assistance service registered in the Netherlands. We are not affiliated with any government authority. For privacy-related inquiries, contact us at privacy@easyvisahelp.com.

2. What data we collect

We process the following categories of personal data:

  • Identity data: name, date of birth, place of birth, gender, nationality, parents' names
  • Passport data: passport number, country of issue, issue date, expiry date — stored temporarily only (see §5)
  • Contact data: email address, phone number, home address
  • Travel data: purpose of travel, address in destination country, social media identifiers (where required by government)
  • Employment data: employer name and address (where required by government)
  • Payment data: processed by Stripe — we do not store card details
  • Application data: background question answers, application status, order ID
  • Technical data: UTM parameters for marketing attribution

3. Legal basis for processing

We process your personal data on the basis of Article 6(1)(b) GDPR (performance of a contract): processing is necessary to perform the service you have requested. Without this data, we cannot submit the travel authorization application on your behalf.

4. Transfer to third countries

To perform our service, your personal data is transferred to the relevant foreign government authority (e.g. US Customs and Border Protection for ESTA, UK Home Office for UK ETA, IRCC for Canada eTA). This transfer is necessary under Article 49(1)(b) GDPR(transfer necessary for the performance of a contract at the data subject's request). These government authorities process your data outside the EEA under their own legislation.

5. Retention periods — GDPR-first approach

We apply strict retention periods in accordance with the storage limitation principle (Art. 5(1)(e) GDPR):

  • Passport data and form data: deleted immediately after submission to the government authority. Session storage expires after a maximum of 2 hours.
  • Photos (passport photo and selfie): deleted immediately after submission. Never stored longer than the session.
  • Email address and application status: retained for the duration of the service and a maximum of 2 years for administrative purposes.
  • Payment information: retained in accordance with statutory record-keeping obligations (7 years) for tax purposes.

6. Your rights as a data subject

Under the GDPR, you have the following rights:

  • Access (Art. 15): you can request which data we hold about you
  • Rectification (Art. 16): you can have incorrect data corrected
  • Erasure (Art. 17): you can request deletion of your data, to the extent legally permitted
  • Restriction (Art. 18): you can request restriction of processing
  • Objection (Art. 21): you can object to processing
  • Portability (Art. 20): you can request your data in a portable format

7. Security

We implement appropriate technical and organisational measures to protect your personal data, including TLS encryption for all data in transit, encrypted storage of sensitive form data, strict access controls, and immediate deletion of passport data after submission.

8. Sub-processors

We use the following sub-processors:

  • Supabase (PostgreSQL): database storage — EU-based servers
  • Stripe: payment processing — subject to Stripe's own privacy policy
  • Resend: transactional email delivery
  • Vercel: hosting and serverless functions

9. Cookies

EasyVisaHelp does not use tracking cookies or third-party analytics. We use only technically necessary session storage in your browser to temporarily hold your application data during the application process. This data is never shared with third parties for marketing purposes.

10. Changes to this policy

We may update this privacy policy from time to time. The date at the top of this document indicates when it was last updated. For material changes, we will notify you by email.
